Development Associate, Annual Giving

The Office of Advancement directly supports UNCSA’s mission and strategic priorities by building meaningful relationships with a variety of constituents and developing opportunities at all levels of alumni, volunteer, and philanthropic engagement. The Office of Advancement works closely with the UNCSA Foundation, which provides oversight of philanthropic gifts to UNCSA, including gift processing and records management. This is an exciting, fast-paced team made up of talented colleagues who are passionate about their work, strive for excellence, support and care about each other, and work to embody the values of equity, diversity, inclusion, and belonging.

Primary Description of Work

The Development Associate, Annual Giving position is a new role that will play an important part in the success of the Advancement team. Reporting directly to the Director of Development, Leadership Annual & Family Giving, the Development Associate, Annual Giving will provide direct administrative support for our giving programs, giving board and volunteer groups, as well provide support for the annual Days of Giving and brick program.

The role requires exceptional organizational and time management skills, and the successful candidate must be able to work independently and prioritize in a quickly changing environment. Work requires contact with donors, volunteers and parents along with partners across campus. The nature of this position requires the highest level of sensitivity, judgement, and confidentiality.

Work Schedule and hours

Standard work schedule is 25 hours per week, Monday – Friday

Some evenings and weekends are required for days of giving and events.


Description of Responsibilities and Duties:

Giving Societies (Giannini Society, Dean’s Circles, Parent Leadership Circle)

· Maintain master spreadsheet for Giannini Society, Dean’s Circles, and Parent Leadership Circle (PLC)

o Track most recent qualifying payments, renewal dates, and confirm updates in donor records

o Track renewal reminder process

o Track stewardship plan for each new/renewing member

· Assist with communications

o Drafting emails and letters for renewals, lapsed members, new acquisitions

o Facilitate design schedules (brochures, postcards)

o Assist with development of giving society newsletters

o Manage website updates

o Work with each art school on consistent communications and stewardship for their Dean’s Circle members

· Premiums

o Order and manage SWAG items/inventory

o Assist with donor mailings


Parent & Family Giving Program

· Parent Data

o Assist with research and tiering of new parent/student data

o Assist prospect research team with identifying top parent prospects

· Parent Visits

o Assist with visit scheduling

· Parent Events

o Assist with planning and execution of parent events and programs (e.g., orientation events, PLC gatherings, etc.)

o Order and manage SWAG items/inventory

· Parent & Family Giving Program/PLC

o Assist with stewardship/donor mailings

o Manage website updates

o Facilitate design process (brochures, postcards)


Board of Visitors

· Maintain member matrix

· Manage new member prospect list, track nomination forms, assist with preliminary research

· Assist with all BOV communications: draft emails, letters, meeting agendas, meeting minutes

· Attend BOV meetings

· Assist with member stewardship: service plaques, nametag orders, Chancellor letters

· Manage website updates


Associates

· Assist with management of The Associates, UNCSA’s volunteer organization

· Add and update volunteer opportunities to the Associates Portal

· Serve as a resource for the Associates for questions about volunteer opportunities and the Portal


Days of Giving

· Track Board Giving (BOT, BOV, Foundation Board)

· Assist with fulfillment of Days of Giving donor mailings and after event follow-up


Thank-a-donor Day

· Assist with coordination of on-campus student activities


Bricks

· Assist with annual brick solicitation

· Coordinate brick fulfillment with vendor


Minimum Qualifications:

Bachelor’s degree and one year of experience related to the area of assignment; or

equivalent combination of training and experience. All degrees must be received from

appropriately accredited institutions.


If no applicants apply who meet the required competency level and training and experience

requirements, then management may consider other applicants. Salary would be

determined based on competencies, equity, budget, and market considerations.


Preferred Qualifications:

Bachelor’s degree, with one year of administrative/office management experience, or high school diploma, with three years of progressively responsible administrative/office management experience.


Previous experience providing administrative support in a university and/or advancement environment; experience with Raiser’s Edge/RENXT. Familiarity with UNCSA and a passion for the arts are a plus.


Knowledge, Skills and Abilities

Proficiency with basic office technology, including Microsoft Office (e.g., Outlook, Word, Excel, and Power Point, Teams), and Zoom, etc.
