a/perture cinema - Theater Support Services Coordinator

a/perture cinema was established to provide the community with a year-round facility to showcase and exhibit art on film. Through both narrative and documentary film, a/perture showcases educational, thought-provoking and inspiring films; a/perture strives to celebrate and promote the diversity in our community and the artistic heritage that abounds in the City of Arts & Innovation.

The core duties and responsibilities of the Theater Support Services Coordinator (TSSC) revolves around supporting others within the organization including administration, marketing and outreach, membership, fundraising and resource development, finance, and theater operations. Job duties can vary widely, from task to task, and day to day. The TSSC must be eager and curious to learn new tasks, skills, and programs; to jump in on short notice to assist other staff on special projects or events; and are willing to make a batch of popcorn when needed.

On any given day, they may perform a variety of tasks, such as:

• Handle incoming emails and other communications

• Record information as needed

• Update paperwork, maintain documents, and word processing deliverables

• Perform general office clerk duties and errands

• Coordinate and schedule meetings as necessary including board and staff events

• Maintain office equipment, print materials, and resource supply inventory as needed

• Assist with special events and programs

• Oversee the processing, fulfillment, and record-keeping of patron membership program

• Create, maintain, and enter information into several databases

• Schedule appointments and maintain calendars

• Prepare communications, such as memos, emails, invoices, reports, and other correspondence

• Write and edit documents from letters to reports and instructional documents

• Create and maintain filing systems, both electronic and physical

• Assist and coordinate gathering invoices, payables, check deposits, documents, and materials for bookkeeping staff

• Coordinate mailings including tax donation letters, postcard offers and promotions

Preparation and Knowledge

• Passion for and dedication to a/perture’s history, mission, and programs

• Proficiency in Microsoft Office suite, spreadsheets, and email communication. Willingness to learn new computer software and online tools and applications, both Mac and PC based

• Excellent verbal and written communications, proofreading skills a must

• Ability to listen, take notes, ask pertinent questions, and follow directions

• Ability to present information concisely and effectively, both verbally and in writing

• Strong attention to detail, extraordinarily well-organized, reliable, punctual and motivated.

• Enthusiastic and pleasant manner

• 3-5 years clerical or office experience required

• College Degree preferred, High School Diploma with at least four years of administrative support experience required

• Occasional evening or weekend hours may be required



Annual Salary Range: $41,000-$45,000
